Order management software · South Africa

Order management software for suppliers who sell through stockists.

Orders come in as WhatsApp photos, voice notes and emailed spreadsheets. With Restock ERP each one goes in once, into one list your office, reps and warehouse all work from. The stockist hears by WhatsApp or email when it’s accepted, invoiced and dispatched.

  • No app for your stockists to download
  • The right price for every stockist, from up to ten price lists
  • Invoices and delivery notes from the order, credit notes from returns
  • Every branch and store on one order list, each with its own rep and packing instructions

R4,999 to R21,999 a month ex VAT, depending on how many stockists order through it.

Billing starts with your first stockist order, or 30 days after go-live if that comes first.

Most weeks look something like this:

  • Orders arrive on WhatsApp, by email, by phone, and as a photo of a handwritten list.
  • Different stockists pay different prices, and that lives in one person’s head.
  • Whichever way it arrives, someone keys it into your system by hand.
  • Your reps cover more accounts than they can visit, so smaller shops go weeks without being asked.

It got the business this far.

As you grow, it costs more: lines keyed in wrong and reorders nobody placed.

Inside Restock ERP

The real screens

Taken from our demo account. The shops and products are made up. The software is what you’d use.

Restock ERP order list showing six shop orders at different stages: quotation, accepted, invoiced and unpaid, fulfilled and paid.
Every order in one listQuotation, accepted, invoiced, fulfilled, and whether it’s been paid. Filter by stockist, shop or status.
A fulfilled Restock ERP order for Corner Deli with requested, accepted and packed quantities per product, a paid invoice and the shipping details.
One order, start to finishRequested, accepted and packed quantities, the invoice and whether it’s paid, and who it’s shipping with.
Placing a new order for Café No. 7 in Restock ERP: quantities typed in against the shop’s product list, with the subtotal, VAT and total worked out as you go.
Placing an order for a shopQuantities against your own product list at that shop’s price, with the total and VAT worked out as you go.
The reminder a shop getsA drawn example with sample data, as it lands on the shop’s phone. It goes out on each shop’s own schedule, by WhatsApp or email, with the suggested order filled in. Someone still confirms it.

What it does

How Restock processes an order

From the stockist’s order to the invoice, dispatch and payment, in one record.

One order record, shared

Your office, reps and warehouse see the order at the same stage, with paid or unpaid alongside, and the stockist is told as it moves. Every change is logged.

Orders go in once

Placed by your rep, your office or the stockist from a reminder link, it lands once as a proper order with the right prices. Lines you’re out of are blocked.

The right price for every stockist

Up to ten price lists, ex VAT, with overrides per category. A stockist can have many stores, each on its own price list. Each discount shows who gave it.

Requested, accepted, packed

Each line tracks requested, accepted and packed, and the invoice is raised off what was packed. Batch codes and packing sheets per order.

Paperwork from the order

Quotes, invoices and delivery notes from the order, credit notes from an approved return. Numbered, branded with your VAT and bank details.

Reorder reminders per shop

A shelf minimum per product, per shop. After a shelf count, the suggested order goes out on that shop’s own schedule. A person confirms it.

Reports by status, rep and shop, downloadable as CSV or PDF.

Price and setup

How you get started

You don’t set this up alone, and your stockists don’t have to change a thing on day one.

R4,999 to R21,999 a month ex VAT, depending on how many stockists order through it

  1. Send us your lists

Your product list and price lists, in a spreadsheet.

  2. We load them in

Products, price lists, stockists and shops go into your own branded account.

  3. Orders go into one list

Your reps and office place orders for stockists, same as now, but into one shared list with the right prices.

  4. Stockists join when ready

When a shop is ready, it gets a reminder link by WhatsApp or email, checks the suggested order, changes any quantities it needs to, and confirms it. Your rep can keep ordering for the rest.

Loading is free

Send us your products, prices and stockists in a clean spreadsheet and we load them at no charge. If the data needs cleaning up first, we quote for that before we start.

Month to month

No lock-in contract. If it isn’t working for you, you stop.

Billing starts with your first order

That’s when your first stockist order comes through Restock, or 30 days after go-live if that comes first.

Is it a fit for you?

Built for suppliers who sell through independent stockists and take orders on WhatsApp, phone and spreadsheets.

A good fitManufacturers selling to stockists, distributors selling to retailers, head offices supplying branches. A range that reorders, sold through outlets you don’t own.
Not the right fitNational chains with their own procurement systems, or businesses that need a full ERP across finance, HR and manufacturing.

Questions

Questions suppliers ask

Anything else, ask us on the call.

Give us 10 minutes
How much does Restock ERP cost?

R4,999 to R21,999 a month ex VAT. Where you land depends on how many stockists order through Restock. Tell us roughly how many in the form and we’ll give you the exact figure on the call.

Is there a contract or setup fee?

No contract: it runs month to month. Loading your data is free if your spreadsheets are clean. If they need cleaning up first, we quote for that before we start. Billing starts with your first stockist order, or 30 days after go-live if that comes first.

How long does it take to set up?

Send us your products, price lists and stockists in a spreadsheet and we load them in. How long the full rollout takes depends on how many stockists you run. We’ll talk it through on the call.

Can it take orders that come in by WhatsApp, email or phone?

However an order reaches you, it goes into Restock once, as a proper order, and nobody re-keys it into a second system. Your rep or office can place it on the stockist’s behalf, or the stockist confirms a reminder link we send by WhatsApp or email. It doesn’t read your WhatsApp chats or voice notes for you.

Can I see where every order is, from quote to payment?

Yes. Every order sits in one list at its real stage: quotation, accepted, invoiced, dispatched or fulfilled, with paid or unpaid alongside. You can filter by stockist, shop or status, and each order shows who it’s shipping with. The stockist is told by WhatsApp or email when its order is accepted, invoiced and dispatched.

Can it manage orders for multiple branches or locations?

Yes. A stockist can have many stores, and each order belongs to a store, with its own price list, packing instructions and assigned rep. On your side, Restock keeps a single stock-on-hand figure per product. It doesn’t run multiple warehouses.

Does it work with my accounting system?

Restock ERP runs the order side. Invoices, delivery notes and credit notes go across to your accounting system, and payment status comes back. Ask us on the call whether yours connects today. If it isn’t connected yet and it has an open API, we can build the connection.

How is order management software different from an ERP?

An ERP usually runs the whole business: accounting, stock, purchasing, production and HR. Restock ERP does the order side: the stockist, the price they pay, the order and where it is. It has no general ledger, no warehouse bins and no manufacturing, and it sits alongside your accounting software rather than replacing it.
